How AI label scanning, guest matching, delivery records and plans work in ScanPost by CastTech.
What is ScanPost and who is it for?
ScanPost by CastTech is web-based package management software for hotel, condominium and property teams. It helps staff receive guest packages, confirm the room or unit, and track delivery in one shared record. The service is provided by CastTech Inc. for businesses in the United States.
How does AI label scanning work?
Scan or upload a shipping label. AI text recognition reads the printed text, and barcode scanning helps capture the tracking number. AI then uses the text and label layout to help separate sender and recipient details. It selects from text read on the label, rather than writing new names or addresses. Guest matching is a separate step using your saved reservations. Your team reviews and can correct the result before saving.
How does ScanPost find the guest and unit?
ScanPost compares the recipient name and address details with reservations saved for your property. It uses name similarity, address or unit clues and booking dates to rank possible matches. A clear match can fill in the guest and unit from the reservation for review. Staff confirm the booking before receiving the parcel. Guest matching needs reservation data: enter it manually on any plan, or import or connect a supported system on Basic and Pro.
What if the label is unclear or the guest is not found?
You can correct the extracted details, try a clearer photo or use Manual entry. Search for and select the right reservation, or receive the parcel unmatched and assign it later. Staff confirm the details before saving, so a suggested match is never a substitute for checking the label.
Can we charge guests for additional or larger parcels?
Yes. Each property can enable its own parcel-fee policy in Settings: a free allowance per reservation, a price for each additional parcel, and separate oversized, overweight and special-equipment fees. For example, allow five free parcels and charge $10 each from the sixth. Staff tick handling categories using your property's size and weight policy; scanning does not measure the parcel. Selected handling fees can apply within the free allowance and combine with the additional-parcel fee. Configure reservation-code exemptions for owners or club members. Staff parcels are exempt from guest fees.
Can parcel fees be added to the guest's reservation account automatically?
Yes, for supported connections with automatic posting enabled. USD fee posting is available on Basic and Pro where the reservation connection supports it; we confirm availability during setup. Save the exact add-on name for each fee, use Find & Verify, and keep an authorised session active. Staff review the calculated fees before confirming receipt; eligible fees then queue for posting to the linked reservation bill. Items that cannot post are shown for attention. ScanPost posts the fee without initiating a card payment; the property collects payment through its normal billing process. Other reservation systems require confirmation during setup.
Is the Free plan a trial?
No. Free includes 50 parcels every calendar month, with no card required and no automatic upgrade or charge. Free is for one user, with manual guest entry and no CSV imports, CSV exports or reservation integrations. Upgrade to Basic or Pro for team accounts and these additional tools.
What counts as a parcel?
One new package saved as received counts once toward your organisation’s monthly allowance. Looking it up, scanning it again or marking it delivered does not count again.
What happens when we reach our limit?
At your monthly limit, receiving new parcels pauses. Administrators can upgrade through their profile, or wait for the next monthly reset. Your team can still access and deliver existing packages. ScanPost charges no subscription overage fees. Any guest parcel fees your property chooses to charge are separate.
How much does ScanPost cost?
Free includes 50 packages a month at no charge. Basic is $49 USD per month or $441 USD per year for 500 packages each calendar month. Pro is $99 USD per month or $891 USD per year for 2,000 packages each calendar month. Annual billing saves 25%. Prices are per organisation; applicable taxes are extra. Compare plans.
Does an annual plan include a yearly parcel pool?
No. Basic includes 500 parcels each calendar month and Pro includes 2,000 each calendar month, regardless of how you pay. Allowances reset on the 1st of each month (UTC). Unused parcels do not roll over.
How do I change or cancel a subscription?
Administrators can open their profile and select Upgrade plan or Manage plan & billing to review plans and manage their subscription. Cancel before the next renewal to prevent the next charge. Service continues through the paid period. Read the cancellation and refund terms.
Do we need to connect a reservation system?
No. Manual guest entry is available on every plan. Basic and Pro also include CSV reservation imports and optional connections to supported reservation systems. Depending on the provider, setup may require API access or an authorised login, with occasional sign-in to keep the connection active.
Which reservation systems can we connect?
Supported connections can import reservations, send package notes or post eligible USD parcel fees to linked bookings on Basic and Pro. Available features depend on your reservation system. Fee posting requires verified add-on mappings and automatic posting to be enabled. The connection requires setup, an authorised reservation-system account and an active session. Other reservation systems can be requested; availability and supported features must be confirmed before relying on an integration. Request a reservation system.
Do staff need a photo to mark packages delivered?
No delivery photo is required for bulk delivery. Staff select the packages they have dropped off and mark them delivered together. ScanPost keeps the delivery status and package history.
